1. Introduction

These Terms & Conditions (“Terms”) form a legally binding agreement between you (“you”, “client”, “passenger”) and Golden Coconut Holiday (“we”, “us”, “our”), a company registered/operating in Sri Lanka, for the provision of travel and related services (including but not limited to tours, transfers, accommodation bookings, ground handling and other arrangements). 2. Booking and Contract

  1. A contract between you and Golden Coconut Holiday is formed when we issue a written confirmation/invoice or voucher for the booking and we receive the required deposit or full payment as stated in the confirmation.

  2. All bookings are subject to availability and the service providers’ (hotels, carriers, guides) own terms and conditions. We act as agent for the suppliers unless otherwise specifically stated. ceylonexpeditions.com

3. Prices, Taxes & Fees

  1. All prices published by us are in the currency specified on the invoice/quotation. Prices are based on rates, taxes and exchange rates in effect at the time of quotation and are subject to change until the booking is confirmed.

  2. Where applicable, government taxes, entrance fees and service charges are included/excluded as specified in your booking confirmation. We will notify you of any price changes prior to confirmation. peoplesbank.lk+1

4. Payment Terms

  1. At the time of booking you must pay the deposit as specified in the confirmation. Full payment deadlines are shown on the invoice (commonly final payment is due [X] days before arrival). Failure to pay by the due date may result in automatic cancellation.

  2. Payments made by credit card are subject to the card issuer’s rules; refunds (where allowed) will be made to the original card used, in line with supplier and bank/refund policies. walkerstours.com+1

5. Amendments by You (the Client)

  1. If you wish to change your booking after confirmation, we will try to make the requested changes but cannot guarantee availability. Amendment fees may apply and you are responsible for any additional supplier charges.

  2. Any amendment request must be made in writing and will only become effective once accepted by us in writing.

6. Cancellations & Refunds

  1. Cancellation fees apply according to the time before departure and the supplier’s rules. Unless otherwise stated, the earlier you cancel the lower the fee; cancellations close to departure often incur higher charges (up to 100% of the booking).

  2. Any refunds due will be processed after deduction of cancellation charges and any non-recoverable supplier fees. Refund processing times depend on the payment method and banks involved. 7. Amendments by Us / Supplier Changes

  1. We endeavor to operate the itinerary as confirmed but may need to alter or cancel arrangements due to events beyond our control (see Force Majeure) or for operational reasons (supplier failure, weather, safety).

  2. For significant changes made by us before departure we will, where possible, offer reasonable alternatives or a refund of services not supplied. 8. Force Majeure

We will not be liable for failure or delay in performing obligations caused by events outside our reasonable control, including but not limited to natural disasters, civil unrest, strikes, government action, epidemics/pandemics, terrorist acts, extreme weather or supplier insolvency. 9. Passenger Responsibility & Conduct

  1. It is your responsibility to ensure you have valid travel documents (passport, visas), travel and medical insurance, vaccinations and any necessary permits. We may require passport details at booking and you must ensure the accuracy of such information.

  2. You must obey local laws and supplier rules while on tour. We reserve the right to remove or refuse travel to any person whose behaviour is likely to endanger or cause distress to others — no refund will be due in such cases. ceylonexpeditions.com

10. Health, Fitness & Special Requirements

  1. You must disclose any medical conditions, dietary requirements or mobility issues that may affect your travel. Some activities have minimum fitness/health requirements; if in doubt, consult your doctor.

  2. We will use reasonable efforts to accommodate special requests (dietary, room allocation, etc.) but cannot guarantee they will be met unless expressly confirmed in writing. aitkenspencetravels.com

11. Passports, Visas & Immigration

You are responsible for obtaining and maintaining valid passports, visas and travel documents. We can assist with visa advice or processing where offered, but ultimate responsibility for entry and exit requirements lies with you. 12. Insurance

We strongly recommend that you take out comprehensive travel insurance covering medical expenses, cancellation, curtailment, personal liability and loss/theft of personal belongings. Insurance is your responsibility and costs are not included unless explicitly stated.

13. Liability & Limitations

  1. We act as agent for hotels, carriers, ground suppliers and other third parties. Except to the extent caused by our negligence or wilful misconduct, our liability for loss, damage or injury is limited to the extent permitted by law and to the limits available from our suppliers and insurers.

  2. We are not liable for indirect or consequential losses (such as loss of enjoyment, lost earnings, business interruption) except where required by law. These limitations reflect standard industry practice in Sri Lanka and internationally. mackinnonstravels.com+1

14. Supplier Insolvency

If a supplier becomes insolvent and fails to provide services we will use reasonable efforts to assist affected passengers; however we cannot guarantee outcomes and are not liable for supplier insolvency beyond assisting within reason. You may be entitled to claim from travel insurance or official compensation schemes if available.

15. Complaints & Problem Resolution

  1. If you have a complaint while travelling you must notify us (or the local supplier/guide) immediately so we can attempt to resolve the issue on the spot. If unresolved, please send a written complaint to us within [X] days after your return.

16. Intellectual Property

All content on our website (text, images, logos, itineraries) is owned by Golden Coconut Holiday or used with permission. You may not copy, reproduce or publish our materials without prior written consent.

17. Data Protection & Privacy

We process personal data to provide travel services and in accordance with our Privacy Policy. By booking, you consent to the collection, use and transfer of your personal information as described in our Privacy Policy (link/brief summary). 18. Price Errors & Omissions

We reserve the right to correct pricing or factual errors on our website or in quotations. If a material pricing error occurs after your booking, we will notify you and give the option to reconfirm at the corrected price or cancel with a full refund where appropriate.

19. Governing Law & Jurisdiction

These Terms are governed by the laws of Sri Lanka. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Sri Lanka, unless otherwise mutually agreed. 20. Severability

If any provision of these Terms is found to be unenforceable, invalid or illegal by a court of competent jurisdiction, that provision will be severed and the remainder of the Terms will continue in full force and effect.

21. Changes to These Terms

We may amend these Terms from time to time. The current version will always be published on our website. For material changes we will provide reasonable notice to affected clients.
